The difference between booking a hotel for your family trip versus a Youth Group are astounding.  All the familiar rules are off the table and group-booking rules apply.  With 30 plus years working with hotels across the nation, we are able to handle and navigate the process for you and your group.

Room Blocks

When groups arrive following check-in time, our GTC Staff will ensure the room list is accurate and rooms are located as per the group leaders wishes.

Arrival Room Checks

GTC Staff check each room before your arrival and ensure that everything is in order (enough towels, working HVAC, no damages and we turn the lights on).

Room Key Packets

Our pre-printed room key packets have enough keys for each person staying in a room and have been checked to ensure they function properly.

Start The Day Meetings

In most destinations, your GTC Staff will conduct a daily morning meeting with the group’s  leadership to review the day’s schedule and discuss inside tips to make the most of the day.

Our Requirements

With our existing, and any future hotel partners, there are certain things that we require for our groups that are non-negotiable:

Indoor Corridors

The safety and security of our group members is the top focus so having indoor corridors at our featured hotel properties helps to achieve these goals. There are cases where a group ask for a specific hotel property with exterior room access (Disney’s All-Star Resort), we will certainly oblige but we strive for all our properties to have indoor hallways.

Breakfast

The affordability of a tour is highly affected by the food costs at various destinations.  We try to work with name-brand national hotels that include this important meal for each of your group members.  Again, when a group leader asks for hotels that do not include this complimentary meal, we will certainly accomodate their requests.

Group Friendly

It may come as a surprise to some, but not every hotel wants the youth market business, OR they simply can not accommodate youth groups. We make sure the hotel has motor-coach parking, double-queen or double-king bedding in group rooms, and are willing to block rooms as conveniently for the proper location of chaperones and leaders. There are dozens of other factors that make a property ‘Group Friendly’ and we make sure the hotels provide these features.

Good Value

It sometimes surprises our clients how nice (very nice) our hotel properties are. We search out the nicest hotel properties with the biggest ‘bang for the buck’ features and in-room amenities. Quite frankly, groups typically do not spend a ton of time at the hotel, but when they are there, they want super-clean rooms, comfortable bedding and modern amenities. We seek out the best properties at the lowest costs to offer a great value to your travelers.

Location

We choose the right hotel property for each group based on their itinerary as well as cost savings. Centrally located hotel properties are essential to take full advantage of the short time a group is at a destination so we always look for properties that make sense.
